This is what Jurgen De Wolf, Drylock’s Group Infrastructure and Operations Director, had to say about the challenges he faced when solving the company’s scheduling issues.
Work smarter – invest in a meeting scheduling solution
Jurgen explained how the most common interruptions they experienced came from people opening doors to check if the conference rooms were taken.
To solve this, the team started scheduling their meetings in Outlook and instructed their secretaries to attach daily print-outs from their calendar to the conference room doors. But invaluable resources and worker time were wasted each day.
The answer had to be digital.
Other solutions are often unreliable, and not real-time
“In a previous assignment, we already used cheap Android tablets with an app that synced every so many minutes,” Jurgen describes, “but it was not always reliable, not real-time and the devices required a power supply at all times, which was not always possible due to glass walls or doors.”
Joan was not Jurgen’s first choice, but it was his final one: “I was looking for a similar solution when an ex-colleague gave me a heads up on Joan. He was testing a unit at the time and was pretty enthusiastic about it. We decided to try one ourselves, and here we are now, with over 25 devices operational all over the world.”

“It definitely improved meeting etiquette, but also saving time, paper and toner for all the daily print-outs that needed to be hung next to all the rooms,” continues Jurgen. “In general, it makes the atmosphere and our way of working more professional, which is also noticed and appreciated by our visitors.”
Constant innovation supports innovative company culture
When you first switch to Joan the benefits are obvious, but you might need some time to get used to charging it.
“The battery has been proven to be both the main advantage, but also a slight disadvantage. Although it provides weeks of autonomy, local admins tend to forget to charge it regardless of the notification e-mails,” Jurgen described his team’s introduction to Joan.
But the battery isn’t the only impressive fact about our solution. It’s the constant innovation. For example, Jurgen admitted his team was pleased to test the new custom button feature, which they set up to display the guest Wi-Fi QR code.
With or without clever room names, Joan does the work
Names are important, but sometimes it’s better to opt for simplicity rather than originality. Jurgen admitted that:
“Mostly boring names are being used like “1st floor Small”. They reflect the sizes of our products: 1st floor Small, Medium, Large (baby diapers), 2nd floor Maxi, Midi (adult care products). Which is just as boring in a way. We considered national rivers and things like that, but simply referring to “the smallest room on the first floor” certainly does the trick too.”
Birds of a feather…
Drawing from their personal experience and approach, Drylock finally found a kindred spirit in Joan, as we both proud ourselves for being communicative and open to customer questions, needs, and feedback.
